Privacy policy
Last updated: October 2026
This policy explains what personal information we collect when you use the Samurai Lock website or buy from us, why we need it, who we share it with and your rights. We only collect what we need to supply your order and run our business, and we never sell your information.
1. About us
1.1The Samurai Lock website is run by Solid As A Lock Ltd, a company registered in England and Wales under company number 07843804, of Unit 10 Haines Park, Grant Avenue, Leeds LS7 1QQ ("we", "us", "our").
1.2We are the "controller" of your personal data under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. This means we decide how and why your data is used.
1.3If you have any questions about this policy or your data, contact us at support@samurailock.co.uk, call 0113 345 0920, or write to us at the address above.
2. The information we collect
2.1Information you give us when you place an order, open an account or contact us:
- your name, email address and phone number;
- billing and delivery addresses;
- your company name, if you buy for a business;
- details of what you order, including any key codes, lock sizes or other information needed to supply your lock or cut your keys;
- your account login details (your password is stored encrypted and we can't see it);
- anything you tell us when you contact us, for example about an order, a return or a complaint.
2.2Payment information. Card and payment details are entered directly with our payment providers (see section 5) and are never seen or stored by us. We only receive confirmation that payment has been made, along with limited details such as the card type and the last four digits.
2.3Information collected automatically when you use our website, such as your IP address, browser and device type, and the pages you visit. This is collected through cookies and by our website security tools (see section 9).
3. How we use your information and why
3.1The law requires us to have a valid reason (a "lawful basis") for using your data. We use it:
| What we use it for | Our lawful basis |
|---|---|
| Processing and delivering your order, including cutting keys to code, arranging delivery or collection, and handling returns and refunds | To perform our contract with you |
| Setting up and managing your customer account | To perform our contract with you |
| Answering your enquiries and dealing with complaints | Our legitimate interests in providing good customer service |
| Keeping accounting, invoice and VAT records | To comply with our legal obligations |
| Sending you an invitation to review your order on Trustpilot | Our legitimate interests in getting customer feedback. You can opt out at any time |
| Keeping our website secure and preventing fraud, including checking that forms are completed by people and not automated programs | Our legitimate interests in protecting our business and customers |
| Understanding how visitors use our website (Google Analytics), so we can improve it | Your consent |
| Using other non-essential cookies | Your consent |
3.2We do not send marketing emails or newsletters. If we decide to do so in future, we will only send them to you if you have agreed to receive them, and you will be able to unsubscribe at any time.
3.3We do not make decisions about you based solely on automated processing. Klarna and Clearpay may carry out their own checks if you choose to pay with them, under their own privacy policies.
4. Key codes and security information
4.1Because we supply locks and keys, some of the information you give us, such as key codes, is security-sensitive. We only use it to supply your order. We keep it securely, limit who can see it and never share it with anyone except where needed to make or supply your order.
5. Who we share your information with
5.1We only share your information where we need to. We share it with:
- Payment providers: Stripe (card payments, Apple Pay and Google Pay), Klarna, Clearpay and Onelink, to take payments and process refunds;
- Delivery companies: our courier partners, to deliver your order and send you tracking updates;
- Business systems we use to run our shop: our stock and order management, point of sale and accounting software, our website hosting and support providers, and our email provider;
- Trustpilot, to send you a review invitation after you order (your name, email address and order reference);
- Google, for Google Analytics (if you accept analytics cookies), spam protection on our forms and the map on our Contact page;
- Vimeo, which hosts the videos on our website and receives basic technical information, such as your IP address, when you play one;
- Our professional advisers, such as our accountant;
- Authorities, such as HMRC or the police, where the law requires us to.
5.2These organisations may only use your information to provide their service to us, or as their own privacy policies explain where they act independently (for example, Klarna and Clearpay).
5.3If our business, or part of it, is sold or reorganised, your information may be transferred to the new owner, who will be able to use it in the same way as described in this policy.
6. Transfers outside the UK
6.1Some of the providers listed above, such as Stripe, Google, Vimeo and Trustpilot, may store or process data outside the UK. Where this happens, we make sure appropriate safeguards are in place, such as UK government adequacy regulations or approved contract terms, so your data is protected to UK standards.
7. How long we keep your information
- Orders, invoices and payment records: 6 years from the end of the financial year they relate to, as required by HMRC.
- Customer accounts: for as long as your account is open. If an account isn't used for 3 years, we may close it and delete the information we don't need to keep for tax purposes.
- Enquiries and emails not related to an order: up to 2 years.
- Website security logs: for a short period, normally no longer than 12 months.
7.1Deleted data may remain in secure backups for a limited time before it is overwritten.
8. Keeping your information secure
8.1Our website uses encryption (SSL) to protect information sent to and from it, and it is protected by security software. Access to your account is protected by your password. Only staff who need your information to do their job can see it.
8.2If you think your account or information has been misused, please tell us straight away at support@samurailock.co.uk.
